Managing Your Grant Page

The Manage Award page displays summary information and outputs associated with your award. You can access the Manage Award page by logging on to ESRC Society Today, selecting My ESRC: My Awards and then the appropriate award title.

From the Manage Award page, you can Request Award Amendments, edit your abstract, add and delete website URLs, download the End of Award Report form, and edit and upload Award Outputs.

You must be registered with ESRC Society Today before you are able to view your award under the My ESRC pages. For further guidance on managing your award, or if you are not yet registered, please contact the ESRC Society Today helpdesk on 0871 241 6115, or email societytodaysupport@esrc.ac.uk.

The page displays the following information:

Award Name
The title of the award
Award Holder
The Principal Investigator or lead applicant, who is responsible for managing the award
Programme Name
If the award is part of a programme, the programme name/link displays here
Co-applicants
The co-investigators involved with the research
Award Description
This is the abstract - a brief (200 word) summary of the project, submitted by the award holder at the start of the award
Award Amount
The total amount awarded to the project by the ESRC
ESRC Grant Number
A unique reference designated by ESRC to each award
Institution
The institution where the research project is based
Discipline
A broad category assigned to each ESRC award
Award Type
The type of award (not all types of ESRC award are displayed on ESRC Society Today)
Web Links
A list of URLs (website addresses) associated with the award, including any mini-sites that were set up from ESRC Society Today. These can be selected to view in a separate window.
To remove a link select the "Delete" link next to the URL you would like to remove.
To add a link, select the "Add" link and enter the URL of the page you would like to display in the dialog box (remember to include the http://). Click the "Save" button to save changes.
Press Kit
An award holder can upload materials for the Press to use in articles, press releases or other media.
To add an item, select the "Add" link.
Impact Report and Records
A list of the impacts that have resulted from the award
Outputs and Documents
All of the outputs associated with the award.
The list displays a document title link which can be selected to view the output. It also includes the output type, a URL if applicable, co-author(s) where provided, and the date it was published to ESRC Society Today. Each output includes an adjacent checkbox so the award holder can select the output to edit, delete or unpublish.

'Request Award Amendment' button 

The Request Award Amendment button is found in the top right hand corner of the Manage Award page. 

This facility should be used to inform the ESRC about any changes to the details of your award, such as applicant names and contact details. The form will submit an email to the Case Officer at the ESRC, who will respond to you directly regarding your request.

Please note, this should NOT be used to upload or submit award outputs. This should be done directly through the Manage Award page. If you have any queries or problems about uploading your outputs, please contact societytodaysupport@esrc.ac.uk (this email address should not be used for correspondence regarding award amendments).

'Upload/Edit Abstract' button

Your award abstract is a summary of up to 200 words in length, written in plain English, about the research. Once the abstract has been submitted, it will be approved for publication on ESRC Society Today. (Note that asbtracts may be edited or referred back to the award holder if too technical or too long.)

The abstract should be provided as soon as possible after confirmation that an award will be granted. The ESRC will be unable to process the confirmation of start certificates until an abstract has been uploaded to the site and approved.

To upload your abstract, select the 'Upload Abstract' button. On the input screen, you should enter Keywords (which are used for search purposes).  Type, or copy and paste your abstract (up to 200 words) into the text box. There are simple text editing features available. When you have finished, select "Submit". This will place your abstract in the queue to be reviewed by ESRC.

You can edit you abstract again, but only once it has been approved (it cannot be edited while pending review). Select the "Edit Abstract" button to make changes to the abstract. Select the "Save" button at the bottom of the page to save changes.

'Upload Impact Record' button

Use this button to upload a completed Impact Record.

'Upload Outputs & Documents' button

To upload a new output, use the "Upload" button. This will open the Upload Award Documents document and then the Upload Output dialog. After filling in the appropriate metadata (information) and attaching an output file, the output will be placed in the Cataloguing Workflow where it will be reviewed by ESRC Staff. Upon approval by ESRC, you will be notified and asked to check the output for accuracy before making it available to the public.

'Edit' Output button 

Each output listed under an award includes an adjacent checkbox so the award holder can select the output for editing. To edit an output, tick the checkbox for the relevant output and select the "Edit" button.

The "Edit Award Document/Upload Output" screen will open with all previously saved metadata present, along with the attached output itself. The user can either update the metadata or replace the output file itself. Once an output has been edited, it will be uploaded and will replace the existing output. The new output will be subject to the Cataloguing Workflow and will not be made available to the public until ESRC has checked the document metadata and the publisher has been asked to check the output for accuracy.

'No Outputs Due' button

Once a year. on the anniversary of the award start date, a reminder is sent to upload any outputs generated over the previous 12 months. In addition, a 'No Outputs Due' button is enabled on the award page. This can be selected by the award holder only if no outputs have been generated over the previous 12 months.

Downloading the report forms

There are three buttons: End of Award Report, Impact Report, and Impact Record. Click the relevant button to download a blank report form, then save it before completing form. The End of Award Report and Impact Reports are due at different stages after the end of your project for evaluation.

Please note: if the award is a Research Centre, the required report form will be sent directly to the Director by ESRC.

Build/Manage Mini-Site

Award holders can create their own mini-sites, hosted on the ESRC Society Today site. To do this, select the Build Mini-Site button in the middle left of the Manage Award page. Using the 'Mini-Site Wizard', follow the five stages of instructions to build the components of your mini-site. You may use up to four logos (in addition to the ESRC logo) and create up to four individual web pages. 

Once you have created and published your website you can manage it by selecting the 'Manage Mini-Site' button. This allows you to change content, add or delete logos, and add, delete or unpublish web pages. You can also unpublish your mini-site. 

Please note that there are certain terms and conditions associated with using this facility; these are detailed at the bottom of every web page within your mini-site. If you have any questions about the suitability of the content of your mini-site you should contact your ESRC case officer.
